Position Overview
We are seeking an organized, detail-oriented, proactive Contract Administration Coordinator to support the administration of contractual obligations related to above-the-line talent across television and entertainment productions.
This position will work closely with departments including Legal, Business Affairs, Production, Casting, Labor Relations, Current Affairs, and Creative to maintain accurate contract documentation, payment schedules, show files, and records related to contractual rights and obligations.
The ideal candidate has prior experience in business affairs, legal affairs, contract administration, or entertainment, along with the ability to read and understand contracts and payment terms. This role requires exceptional attention to detail, sound judgment, strong communication skills, and the ability to manage multiple priorities in a fast-paced, high-volume environment.
Key Responsibilities
- Manage calendars and coordinate internal and external meetings.
- Screen and respond to a high volume of calls, emails, and meeting requests with professionalism and discretion.
- Disseminate start paperwork and other contractual documentation.
- Prepare and maintain above-the-line (A-T-L) payment schedules.
- Coordinate option pickup and start-date notices.
- Review contracts and contractual terms to ensure accurate administration of payment schedules and obligations.
- Create and maintain show files, informational charts, and documentation for assigned series.
- Maintain records and documentation related to studio rights and contractual obligations.
- Utilize DocuSign to facilitate contract and document execution.
- Maintain accurate records within AirTable and other administrative systems.
- Communicate and coordinate effectively with internal departments and external stakeholders.
- Assist with special projects and other administrative initiatives as requested by senior Business Affairs and Legal Affairs leadership.
- Prioritize competing deadlines and independently manage day-to-day responsibilities.
- Exercise sound judgment in determining when issues require escalation.
- Support a high-volume workflow while maintaining accuracy and attention to detail.
Required Qualifications
- 3+ years of relevant experience in business affairs, legal affairs, contract administration, or a related function within a major studio, entertainment company, agency, or similar environment.
- Prior entertainment industry experience is required.
- Ability to read, interpret, and understand contracts and terms of payment.
- Experience administering or supporting contractual obligations and documentation.
- Strong attention to detail and organizational skills.
- Ability to effectively communicate and collaborate with multiple internal and external stakeholders.
- Ability to interact professionally with executives and individuals at all levels of an organization.
- Strong Microsoft 365 skills, including Word, Excel, and Outlook.
- Proficiency with AirTable.
- Experience with DocuSign.
- Ability to work independently while also contributing effectively as part of a team.
- Strong time-management skills and ability to manage multiple priorities and changing deadlines.
- Excellent written and verbal communication skills.
- Ability to work effectively under pressure in a fast-paced, high-volume environment.
Preferred Qualifications
- Bachelor’s degree preferred, but not required.
- Experience working with entertainment guilds is a plus.
- Experience supporting Business Affairs or Legal Affairs teams within a television or film production environment.
- Experience maintaining show files, production documentation, payment schedules, or talent-related contractual records.
