Job Summary

The Administrative Assistant II supports the day-to-day operations of the Vendor Direct program, including drop-ship and non-stock product channels. This tactical, execution-focused role is responsible for managing requests from Sales, coordinating with vendors and suppliers, preparing and processing quotes, maintaining supplier and product information, and supporting accurate and timely order fulfillment. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Job Responsibilities

  • Monitor and manage requests from Sales teams related to Vendor Direct products and fulfillment.
  • Partner with Sales, suppliers, and internal teams to support bulk, drop-ship, and non-stock fulfillment activities.
  • Obtain vendor information, pricing, product details, and required documentation.
  • Prepare, process, and communicate accurate quotes to Sales teams.
  • Maintain vendor contracts and related documentation.
  • Maintain accurate supplier data, product catalog information, pricing, and supporting records.
  • Process and review purchase orders, invoices, quotes, and supplier documentation.
  • Partner with Supply Chain and other internal teams to research and resolve order discrepancies.
  • Track requests and follow up with internal teams and suppliers to ensure timely completion and closeout.
  • Maintain accurate records and documentation related to vendor and order activities.
  • Manage multiple requests, priorities, and deadlines in a fast-paced environment.
  • Assist with other related duties as assigned.

Job Requirements

  • At least 1 year of experience in administrative support, customer service, sales support, order management, quoting, invoicing, purchasing, sourcing, vendor coordination, or a related field.
  • Experience with sourcing, purchasing, placing orders, or vendor management is highly desirable.
  • Experience with SAP is preferred.
  • Proficiency with Microsoft Office Suite.
  • Strong attention to detail and ability to accurately process quotes, purchase orders, invoices, and supplier documentation.
  • Strong organizational skills and ability to maintain accurate records and documentation.
  • Ability to manage multiple requests and competing priorities while meeting deadlines.
  • Strong analytical and problem-solving skills, including the ability to identify and resolve discrepancies.
  • Ability to learn new systems, processes, and product information quickly.
  • Strong written and verbal communication skills.
  • Strong follow-up and coordination skills when working with Sales, suppliers, and internal teams.

Education

  • High school diploma or equivalent required.
  • Associate degree in Business, Supply Chain, Accounting, or a related field preferred.

Work Experience

  • At least 1 year of relevant experience in administrative support, customer service, sales support, order management, quoting, invoicing, purchasing, sourcing, or a related field.
  • Experience in purchasing, sourcing, order management, sales operations, quoting, vendor coordination, or supply chain support is preferred.
  • Experience working with SAP, vendor pricing, purchase orders, and supplier documentation is a strong plus.
